This policy explains how The Good Shepherd Swedish School collects, uses, stores, and protects information when students, parents, teachers, staff, and administrators use the school application and its related services.
1. Who is responsible for your information?
The Good Shepherd Swedish School is responsible for the personal information processed through the school application. The application is provided only for authorized school and educational use.
2. Information we process
Depending on your role and how the school uses the application, this may include:
- Names, school identifiers, contact details, account details, and user roles.
- Student enrollment, class, attendance, assignments, submissions, grades, certificates, and academic records.
- Messages, announcements, comments, feedback, uploaded files, and other school communications.
- Parent, guardian, teacher, and staff information required to operate school services.
- Device and technical information such as IP address, device type, application version, sign-in activity, security logs, and notification tokens.
- Location or regional information when the school enables location-based security and the device or applicable law requires permission.
3. How we use information
- Provide accounts and role-appropriate access to school services.
- Manage teaching, attendance, assignments, assessment, reporting, certificates, and communication.
- Send service, security, school, and push notifications.
- Protect accounts, investigate misuse, keep audit records, and maintain service reliability.
- Meet the school's educational, administrative, safeguarding, and legal responsibilities.
4. Children and student information
Student information is handled as part of the school's educational services. Access is limited according to each user's role. Parents or guardians may contact the school about their child's information, subject to applicable school procedures and law. The application is not used for behavioural advertising and the school does not sell student information.
5. When information is shared
Information may be shared only as needed with:
- Authorized students, parents, teachers, staff, and administrators.
- Technology providers that support hosting, backups, email, notifications, security, or application operation under appropriate safeguards.
- Authorities or other parties when required by law, safeguarding duties, or a valid legal request.
We do not sell personal information or use it for third-party advertising.
6. Storage and retention
Information is retained for as long as needed for school operations, academic and legal recordkeeping, security, dispute handling, and applicable retention requirements. Retention periods may differ by record type. Records are deleted, anonymized, or archived securely when they are no longer required.
7. Security
We use administrative and technical safeguards intended to protect information, including access controls, authenticated accounts, role-based permissions, encrypted network connections, security logging, and protected backups. No electronic system can guarantee absolute security, so suspected privacy or security incidents should be reported promptly.
8. Your choices and rights
Depending on applicable law and the type of school record, you may ask to access, correct, or receive information about personal data, or raise an objection or deletion request. Some records must be retained for educational, safeguarding, contractual, or legal reasons. Contact the school to submit a request.
9. Notifications and device permissions
Push notifications can be controlled through the application or device settings. Disabling push notifications does not remove messages already available inside the application. Optional device permissions may be declined, although some security or application functions may then be unavailable.
10. Changes to this policy
We may update this policy when the application, school practices, or legal requirements change. The current version and its effective date will remain available on this page.
